# Forms & public intake

A published form grants permission to submit, not permission to browse your sheet.

Add a Form view with + in a sheet’s view bar. Configure its title, description, displayed fields, required fields, submit button, and success message. Preview the actual response experience before sharing. The record-name field always appears and is required, so each submission creates an identifiable record.

## Choose appropriate questions

Forms support text, long text, number, duration, rating, phone, checkbox, date, status, select, multi-select, URL, and email. They do not expose Person, attachments, linked-record pickers, timers, formulas, or rollups as public input. A required checkbox must be checked. Ratings accept integers zero through five; controlled options must match current field choices.

## Publish and stop submissions

- Save form changes and resolve any stale-preview message.
- A workspace owner or admin chooses Publish form. Editors can build an unpublished form but cannot manage public sharing; published-form editing is restricted to managers.
- Copy the complete generated link and open it in a separate signed-out browser session. Submit a synthetic example and confirm that it appears correctly in the sheet.
- Use Stop accepting responses to revoke the public capability. Republish to create a new link if needed.

> **Treat the full link as the capability** Anyone with a live link can submit without a Ralti account. The link does not reveal existing records. Do not remove the final link fragment when sharing it; that fragment carries the submission capability.

## Handle rejected responses

Submissions use server validation and existing sheet rules. If a rule requires a value the form does not collect, adjust the intake design or rule rather than leaving respondents trapped. A changed form asks the respondent to refresh. Revoked links and forms in archived workbooks stop accepting responses.

Submission retries use an idempotent identifier to avoid creating a duplicate from the same attempt. The endpoint is rate-limited and bounds request size. A saved workbook template does not carry a published form capability into a new workbook.
