# Search, shortcuts & quick capture

Search retrieves existing work. Capture prepares new work in the correct context.

Use search when you know something already exists: a customer name, project detail, linked record, or phrase in notes. Narrow to a workbook or sheet when the name is ambiguous. Ralti’s server-side queries use authorized data rather than treating the records currently visible in your table as the entire workspace.

## Search or capture from your phone

Tap Search in the phone’s bottom navigation or the search field on Home to find existing work. Choose a result to open it in context. For something new, choose Create → Capture an idea, or use Quick capture on Home. Ask Ralti is available from Home and Explore. Create and editing actions follow your workspace role.

## Keep your hands on the keyboard

## Capture a complete thought

- Confirm the visible workspace and context before entering a request.
- Name the destination and relevant fields: “Add a project called Spring launch, due April 14, with status Draft.”
- Answer clarification questions instead of repeating the original request.
- Inspect the proposed names, dates, assignments, and links before applying the change.
- Open the created record to add long notes or relationships that need more attention.

## Distinguish a match from a complete answer

Search relevance ranks useful matches; it does not prove that every matching record or email has been reviewed. For an exact count or a grouped total, ask a precise question with the sheet, filters, and measure. Inspect cited records and any coverage or truncation notes. Formula and rollup aggregate support depends on the query path used.

> **If voice is unavailable** Permission denial or a missing speech service leaves typing available. The built-in helper is a separately selected rule/template interpreter, not an offline speech or language model.

If a record cannot be found, check the selected workspace, spelling, filters, and whether its workbook is archived. Private mail requires the appropriate mailbox access even when its text matches your query.
